Office Manager / Executive Assistant to CEO

Level: Mid Department: Operations Location: Florida HQ / On-Site Classification: W-2

Mission

Run the Florida HQ office and own executive support for the CEO — calendar, travel, expense, vendor management, and the daily operational glue that lets the executive team move fast.

Responsibilities

  • Manage the CEO's calendar, travel, and expense reporting
  • Run the Florida HQ office — facilities, supplies, vendor management
  • Coordinate executive-team meetings and offsites
  • Manage the front-office posture — visitors, deliveries, partner reception
  • Maintain the company's events and conferences calendar
  • Partner with HR on onboarding logistics
  • Be the operational backstop the CEO can hand anything to

Required qualifications

  • 5+ years executive assistant or office management experience
  • Strong organizational and written-communication chops
  • Comfort with Google Workspace, Microsoft 365, and modern SaaS tools
  • High discretion and confidentiality

Preferred qualifications

  • Prior EA-to-CEO experience at a venture-backed or federal-services company
  • Background managing facilities and vendor relationships
  • Florida-based
  • Notary public certification
